Who we are
Nicheless, Inc., a Delaware corporation (“MindLoops”, “we”, “us”), makes the MindLoops app and runs mindloops.ai. We decide how and why your personal information is used, which makes us its controller (or, under India’s data protection law, its data fiduciary).
You can reach us about anything in this policy at louis@nicheless.com.
What we collect
We collect information when you use MindLoops, and only what we need for the reasons in section 4.
| Information | What it includes |
|---|---|
| Account | Your email address and password (stored only as a secure hash by our sign-in provider), a display name if you choose to give one (other members can’t see it), and an account ID. |
| Your loops | Titles, descriptions and notes; each loop’s music, voice and pacing; whether it’s public; and how many times it’s been played. |
| Interview answers | The goal you pick, recordings of your spoken answers, the text your iPhone transcribes from them, the tidied answers you confirm, and the loop drafts written from them. |
| Your voice copy | Only if you ask for one (Prime): the voice model made from your recordings, kept by our voice provider, and a record of when you agreed to its creation and which wording you agreed to. |
| Voice usage | How many words and characters of realistic voice you’ve used, and the audio we’ve generated for your notes, kept so replays are free. |
| Purchases | Your plan, when your Prime started and ends, and the App Store’s transaction ID. Apple handles payment; we never see your card details. |
| Messages | What you send us when you email us. |
| Technical data | Our hosting providers log technical details of each request, such as IP address, device or browser type and time, to keep MindLoops running and secure. |
On your iPhone only. Your preferences (like your default voice), the time of any reminder you set, and recordings waiting to upload stay on your device. Reminders are scheduled by your iPhone itself; we don’t use a push notification service.
What we don’t collect. We don’t collect your location, contacts or photos, we don’t use advertising identifiers, and there are no third-party analytics or advertising tools in the app or on this website.
Sensitive information
What you tell MindLoops can include things about your health, your feelings, your relationships or your beliefs. We use it only to make and play your loops and to keep you safe (section 5). We never use it for advertising or profiling.
Where the law gives this information special protection, we handle it on the basis of your explicit consent, which you give when you record and confirm an answer or save a loop. You can withdraw it at any time by deleting those answers or loops, or your account.
Your voice copy is sensitive too. Section 6 explains how we treat it.
How we use it
- To run MindLoops: to create your account, save your loops, and play them with the voice and music you choose.
- To write your loops: your confirmed answers are sent to AI models that tidy up what your iPhone transcribed, choose the next question and write your loop (section 5).
- To read them aloud: the text of each note you play is sent to our voice provider to turn into speech, and we keep the audio so replays don’t use your words.
- To make and improve your voice copy, only when you ask (section 6).
- To keep people safe: answers and loops are checked automatically for signs that someone may be at risk (section 5).
- To handle purchases: to confirm a Prime purchase with the App Store and add your words.
- To talk with you: to answer your messages and send essential emails, like confirming your address. We don’t send marketing emails unless you’ve asked for them.
- To protect MindLoops: to keep it secure, prevent abuse (for example, with daily limits on AI features), and find and fix problems.
- To follow the law, and respond to valid legal requests.
We don’t sell your personal information, use it for advertising, or build profiles of you for anyone else. We don’t use your loops, answers or recordings to train AI models.
AI and safety checks
After the first question, the interview’s questions are written by AI, and so are the tidied versions of your answers and your loop. AI can get things wrong, which is why you confirm every answer and can edit every note.
To do this, we send your goal, your confirmed answers and your loop drafts through an AI routing service to the companies that run the models. We ask it to use only providers that don’t keep what they receive or use it to train their models.
Safety checks. Because people sometimes share hard things, every answer and every loop is checked automatically, by the model writing it and by a second model built for safety reviews, for signs that someone may be at risk of harming themselves or someone else, or that a loop could encourage harm. If a check is triggered, the interview stops, no loop is written, and we show you ways to reach people who can help. No one is contacted, nothing is passed on, and no one at MindLoops reads your answers as part of the check. The stopped interview stays in your account, where you can delete it.
These checks don’t decide anything with legal or similarly significant effects for you. If you think one stopped an interview by mistake, tell us.
Your voice copy
- We make a voice copy only if you have Prime and ask for one, after you agree on the consent screen. It’s made from recordings you made in the app: your interview answers, or a passage you read aloud.
- Our voice provider keeps the voice model and uses it only to speak your loops when you play them. Only you can use it: anyone listening to a loop you’ve made public hears one of our voices instead.
- You can add recordings to improve it, or delete it, at any time in your profile. When you delete it, we ask our provider to delete the model, and we delete the audio we generated with it.
- If your Prime ends, your voice copy is paused, and we may delete it when we need room for other members’ voices. You can make a new one if you come back.
- We don’t use your voice copy to identify or verify you. Some laws, such as certain US state laws, treat voice data as biometric information; we keep yours only for as long as this section describes, and delete it as described here.
International transfers
Your account data is stored in the United States, and some of our providers process information there and in other countries, which may have different data protection laws from yours. Where the law requires it, we rely on safeguards for these transfers, such as the European Commission’s Standard Contractual Clauses or the UK’s equivalent.
How long we keep it
| Information | How long |
|---|---|
| Account | Until you delete your account. |
| Loops | Until you delete them, or your account. |
| Recordings and interview answers | Until you delete them (Profile, then Your recordings), or your account. |
| Your voice copy | Until you delete it or your account, or until we remove it after your Prime ends. |
| Generated audio | Audio in your own voice is deleted with your voice copy. Audio in our stock voices is stored by the text it speaks, isn’t linked to your account, and may be kept to serve replays. |
| Voice usage and purchase records | Voice usage until you delete your account. Purchase records (the App Store’s transaction ID and the dates it covered) are kept after that, no longer linked to you, so the same purchase can’t be granted twice, and for tax and accounting. |
| Messages to us | As long as we need them to help you, and up to two years after. |
| Technical logs | A short time, usually days, set by our hosting providers. |
When something is deleted, copies may remain in our providers’ backups for a short time before they’re overwritten.
Your choices and rights
In the app, you can edit or delete any loop, delete your recordings and interview answers, delete or remake your voice copy, and turn off microphone, speech recognition or notification access in your iPhone’s Settings.
To delete your account, open the app and go to Profile, then Delete account. That deletes your account and everything in it straight away: your loops, your recordings and interview answers, and your voice copy, which we also ask our voice provider to delete. Deleting doesn’t refund Prime; refunds go through Apple. If you can’t use the app, email louis@nicheless.com from the address you signed up with, and we’ll delete your account and the information in it within 30 days. Either way, we keep only the purchase records described above and anything else the law requires us to keep.
Your rights. Wherever you live, you can ask us for a copy of your information, ask us to correct or delete it, or ask us to stop using it for a particular purpose, and you can withdraw consent at any time. Email us and we’ll reply within 30 days, or sooner if your local law requires. We may need to confirm it’s really you, and we won’t treat you differently for using your rights.
If you’re in the EEA, the UK or Switzerland
You also have the right to data portability and to object to processing based on our legitimate interests, and you can complain to your local data protection authority. These are our legal bases:
| What we do | Legal basis |
|---|---|
| Running your account and loops, playing them, and handling purchases | Performing our contract with you |
| Handling health or other sensitive information you share | Your explicit consent |
| Making and improving your voice copy | Your explicit consent |
| Using your microphone, speech recognition and reminders | Your consent, given through your iPhone’s permissions |
| Safety checks | Your explicit consent, and our legitimate interest in protecting people’s safety |
| Security, preventing abuse and fixing problems | Our legitimate interests |
| Keeping records the law requires, and answering legal requests | Legal obligation |
If you’re in California or another US state with a privacy law
We don’t sell your personal information or share it for cross-context behavioral advertising, and we use sensitive personal information only to provide MindLoops to you. You can ask to know, correct or delete the personal information we hold, yourself or through an authorized agent, using the contact details above. Section 2 lists the categories we collect, and section 7 who receives them.
If you’re in India
Under the Digital Personal Data Protection Act, 2023, you can access a summary of your personal data; have it corrected, completed or erased; nominate someone to exercise your rights if you die or become unable to; and have your grievances addressed. Contact us at louis@nicheless.com. If we don’t resolve your grievance, you can complain to the Data Protection Board of India.
Children
MindLoops is for people aged 16 and over. We don’t knowingly collect information from anyone younger. If you think a child has given us information, contact us and we’ll delete it.
Security
Your information is encrypted in transit, and at rest by our hosting provider. Access rules in our database mean each member can reach only their own private data, recordings sit in private storage, and only the people who need access to run MindLoops have it. No system is perfectly secure, but we work hard to protect yours, and if a breach affects your information, we’ll tell you and the authorities as the law requires.
This website
mindloops.ai doesn’t use cookies, analytics or trackers, and it doesn’t load scripts or fonts from other companies. Our host, Vercel, keeps standard request logs, such as IP addresses, to deliver the site and protect it from abuse.
Changes to this policy
When we change this policy, we’ll update the dates at the top. If a change is significant, we’ll tell you in the app or by email before it takes effect.
